Develop and maintain comprehensive project schedules using project management software.
Coordinate with project managers, engineers, and other stakeholders to ensure timely and efficient project execution.
Monitor project progress and adjust schedules as necessary to address delays or changes in project scope.
Billing & Invoicing:
Prepare and submit accurate and timely billing statements to clients.
Ensure all billing is in compliance with contract terms and conditions.
Resolve any billing discrepancies or disputes with clients.
Track and manage receivables to ensure timely payment.
Financial Management:
Develop project budgets and track expenditures to ensure projects stay within budget.
Prepare financial reports and forecasts for senior management.
Analyze financial data to identify cost-saving opportunities and efficiencies.
Contract Management:
Review and interpret contract documents to ensure all billing and planning activities align with contractual obligations.
Manage subcontractor agreements and ensure timely and accurate payment to subcontractors.
Risk Management:
Identify potential project risks and develop mitigation strategies.
Monitor and manage project risks throughout the project lifecycle.
Compliance & Documentation:
Ensure all billing and planning activities comply with federal, state, and local regulations.
Maintain accurate and detailed project documentation for auditing and reporting purposes.
Stakeholder Communication:
Serve as the primary point of contact for clients regarding billing and planning matters.
Communicate project status, financial performance, and any issues to senior management and other stakeholders.
Team Leadership:
Lead and mentor a team of billing and planning professionals.
Foster a collaborative and high-performance team environment.
Qualifications:
Education: Bachelor’s degree in Construction Management, Civil Engineering, Finance, or a related field. Advanced degree or professional certifications (e.g., PMP, CCM) are a plus.
Experience: Minimum of 5-7 years of experience in billing and project planning within the highway construction sector.
Skills:
Proficient in project management software (e.g., MS Project, Primavera).
Strong understanding of construction billing processes and financial management.
Excellent analytical and problem-solving skills.
Strong organizational and time management skills.
Effective communication and interpersonal skills.
Ability to work under pressure and meet tight deadlines.
Working Conditions:
Primarily office-based with occasional site visits.
May require extended hours during peak project phases.
Must be able to travel as needed for project requirements.
